Definition Under the general direction of the Executive Director, the Office Manager supervises and coordinates the operations and activities of the RESIG office and supervises the clerical/receptionist position(s) in the Administration Department.
Provides independent support to the Executive Director by performing a wide variety of complex, confidential, and highly responsible administrative and office management duties.
In accordance with the Brown Act, prepares, posts, and distributes agenda materials for board meetings in addition to attending the meetings; takes, develops, and maintains the minutes.
Manages RESIG's building projects and maintenance and ensures the overall operations of the organization.
This position requires successful execution and management of a variety of complex projects, from inception to completion, while exercising independent judgement.
Principal Job Duties Responsible for ensuring the efficient operation and management of the office facilities, equipment, building maintenance and projects.
Directs and manages multiple vendors, contractors, project managers and experts on various facilities and building projects including the bidding process and budget.
Provides support to the Executive Director and Program Managers to ensure the smooth operation of the organization.
Prepares agendas, organizes meetings, and communication with RESIG Staff, Board Members, and Member Districts.
Manages complex, confidential, and highly responsible, administrative and office duties while exercising independent judgment.
Responsible for approval of project quotes and implementation up to $15,000.
Directs and supervises, trains, completes regular performance evaluations, plans for improvement and/or disciplinary action of the clerical/receptionist position(s).
Develops, implements, and manages departmental goals, objectives, and budget.
Directs, supervises, and trains the on-site IT Assistant in the management of RESIG's website and daily IT activities and projects.
Develops, posts, and distributes agenda materials for meetings of the Executive Committee and Board of Directors in a timely manner and maintains records in accordance with the Brown Act.
Records, develops, and maintains minutes of Executive Committee and Board Meetings.
Maintains various facility software systems (i.
e.
, HVAC and Alarm systems).
Addresses complex questions or concerns from the public and staff.
Develops and maintains JPA Accreditations.
Maintains organizational Policies & Procedures manual, JPA Agreement & Bylaws; distributes updates to RESIG Staff and Member Districts.
Conducts a variety of complex research, processes, and projects.
Manages the recruitment process of RESIG Staff.
Participates in interviews, makes recommendations during the selection process of potential employees.
Maintains confidentiality both verbal and written.
Provides direction regarding maintenance of permanent records and appropriate retention and destruction of records.
Compiles new member information from various RESIG Departments and tracking of members in RESIG Programs.
Develops, implements, and maintains RESIG's Building Maintenance Program.
Work closely with management to develop and maintain RESIG job descriptions.
Research, purchases, and coordinates the installation of equipment and appliances.
Coordinates, schedules, and organizes events, meetings, and conferences.
Set and/or adjust schedule, as needed, for meetings, trainings, conferences, and other work-related events.
Directs the Business Department in the absence of the Business Manager.
Manage RESIG operations in the absence of the Executive Director, as needed.
Performs other duties as assigned.

Strong human relation skills to communicate sensitive and confidential information.
Proper Standard English usage, grammar, vocabulary, spelling, punctuation, and proofreading skills.
Office methods and equipment, filing systems, telephone techniques, letter and report writing, and well-developed computer skills required in Windows-based applications.
Ability to Learn, interpret, and apply specific rules, laws, and policies necessary and apply them with good judgment in a variety of procedural situations.
Represent RESIG in a manner consistent with the policies, practices, and procedures of the organization.

Working Conditions Work with office equipment and computerized workstations which involves repetitive arm and hand movement.

Must provide means of transportation.
Must provide proof of a valid California driver's license and California vehicle insurance.
Frequently travel to various schools, vendors, meeting sites, and conferences.
Experience and Education Minimum of four (4) years of increasingly responsible administrative or office management experience.
High school diploma or equivalent required; college degree or additional coursework in the field of Business, Human Resources or related field is preferred.
Possession of a Human Resources certificate is desirable.
Supervisory experience sufficient to hire, train, supervise, evaluate, and discipline team.
Experience with the public sector or public schools is desirable.
